This policy explains what AI Phone Front Desk (Ratio Visuals LLC) collects and why.

Business customers

Account email, business details, website content we read during setup, calendar availability, billing details (handled by Stripe; we never see full card numbers).

Callers and leads

When someone calls or texts a business that uses AI Phone Front Desk, we process the call audio (converted to text in real time), the transcript, an optional recording, phone number, and details they share, such as name and appointment needs. We process this only on behalf of that business, to answer, book and notify them. The receptionist can recognize that the same number called that business in the past 90 days, using the count and date only. A number match is not identity verification, and previous conversation details are not disclosed. Before a transfer connects, the business may hear the name and short reason supplied during the current call.

Service providers

Twilio (calls, texts, speech recognition and voice), Anthropic (AI model), Stripe (payments), Brevo (email), Railway (hosting). They process data only to provide their service.

Retention

Transcripts and recordings are kept for 12 months, then deleted, or sooner at the business's request. Text opt-outs are kept permanently so we never text an opted-out number.

Reply STOP to any text to opt out. To access or delete your data, email info@ratiovisuals.net. We do not sell personal information. Mobile opt-in data and consent are never shared with third parties for marketing.
